As a Placement Success Advisor at Virtual Internships, you will be the driving force behind the success of our global internship placements. Acting as a trusted advisor, coach, and mediator, you’ll guide interns and companies through the internship journey - ensuring clarity, accountability, and positive outcomes for both sides.
This role blends elements of customer success, mentorship, and people operations, requiring both empathy and thoughtful problem-solving. You’ll oversee a portfolio of global internships, spot potential challenges early, and create actionable plans that lead to growth, learning, and satisfaction for every participant.
What You'll Do
Build Strong Foundations (Weeks 1–5)
Every new placement follows a structured onboarding journey designed to build strong relationships and surface issues before they become bigger problems.
Run scheduled touchpoints during Weeks 1, 3 and 5, with weekly feedback reviews in Weeks 2 and 4.
Score conversations using our standard assessment framework to build a clear picture of placement health.
Identify early risks and intervene before issues escalate.
Maintain accurate and consistent documentation in HubSpot.
The goal isn't simply completing a checklist - it's reaching Week 5 with a genuine understanding of every internship in your portfolio.
Own Your Portfolio (Week 6 onwards)
Once onboarding is complete, your portfolio becomes yours to manage.
Rather than following a fixed cadence, you'll decide where your attention is needed most using our risk model (P1 Critical, P2 Disengaged and P3 Monitor).
Prioritise your workload based on placement health and emerging risks.
Respond quickly to high-risk placements while maintaining proactive relationships across your portfolio.
Build long-term trust with interns and company supervisors.
Confidently navigate sensitive conversations and competing perspectives.
Know when to coach, when to challenge and when to escalate.
Coach, Support & Solve Problems
Every internship is different, and so are the people involved.
Coach interns through professional and workplace challenges.
Support supervisors in giving meaningful feedback and creating positive learning experiences.
Facilitate conversations when expectations drift, communication breaks down or performance becomes a concern.
Help both sides find practical solutions that keep placements moving forward wherever possible.
Improve the Bigger Picture
Great PSAs don't just manage placements - they help improve the programme.
Keep high-quality documentation that leadership can rely on.
Identify trends and recurring themes across your portfolio.
Partner with cross-functional teams to improve the intern and company experience.

What Success Looks Like
Every new placement completes the onboarding journey on time with accurate scoring and documentation.
Risks are identified and addressed before they become bigger issues.
Interns and supervisors feel supported throughout the internship.
Your portfolio stays healthy because you're spending time where it matters most.
Leadership can rely on your documentation and reporting.
Your insights help improve future internship experiences - not just the placements you manage today.
Who We're Looking For
You're someone who enjoys working with people just as much as solving problems. You appreciate having a clear operating model, but you're equally comfortable making decisions when there isn't a playbook.
You'll likely have experience in:
Customer Success or Account Management
Learning & Development or Coaching
HR or People Operations
Programme Management or Education Services
You'll also bring:
Experience managing your own portfolio or caseload
Confidence working across time zones in a remote environment
Strong CRM discipline (HubSpot or similar)
Excellent written and verbal communication skills
Sound judgment and the ability to balance competing priorities
A Note on Fit
This role isn't about following a script.
The structure exists to remove the guesswork from the repeatable parts of the job - not to replace judgment. Once onboarding ends, you'll be deciding where your attention is needed, navigating situations that don't fit a template, and solving people's problems that rarely have a perfect answer.
If you're looking for a role where every decision is prescribed, this probably isn't the right fit.
If you enjoy ownership, trust your judgment and like solving complex people's challenges, you'll probably love it.
Whichever one you are, you'll have:
Fluency in English - no IELTS required, but if you have one, think 7.0+

Remote-First: All roles at VI are currently and will remain remote - flexibility to work from anywhere.
Flexible Working Hours: Start earlier, leave earlier, take a shorter lunch, or leave later, it's totally up to you.
Annual Leave: Wherever you are in the world, you’ll get 25 days of paid annual leave per year, plus bank holidays and 5 sick days.
Life Event Leave: There are moments in life where your life responsibility is a higher priority than work (e.g. moving house, your best friend getting married, your sister having a baby) therefore, you’ll get 5 days of paid life-event leave to support these occasions. You also get a day off on your birthday. This is in addition to your Annual Leave.
